How to register a worker: Step by step

In this article we show in a clear and simple way the necessary steps to register a new worker. You can learn all these steps on how to register a worker, and many more, with our Master in Human Resources Management. Train with experts in the sector.

Before starting the procedures necessary to register a new worker, we must make the necessary next questions to be clear about where to start and the steps we must follow:

  1. Are we registered in the economic activity in which the new team member will provide services?
  2. Do we already have a Social Security Contribution Account Code or on the contrary is it our first worker?
  3. Is the new worker affiliated with Social Security?

If the answer to all these questions is “YES”, the process is reduced to two simple steps:

  1. Registration of the worker in Social Security
  2.  Registration and Communication of the Employment Contract in the State Employment Service (SEPE)

If, on the other hand, the answer to some of the previous questions is negative, we will have to carry out these previous steps before starting to register a worker.

Register a worker: Registration of economic activity

  • Competent body: Tax Agency
  • Application Model: Form 036 or 037. Census Declaration of Registration, Modification and Deletion in the Census of Entrepreneurs, Professionals and Retainers
  • Form of presentation: It can be presented physically at the corresponding Tax Agency office or electronically through the Electronic Office

The most likely thing is that we are registered in the activity in which we want the new worker to start his profession with our company, but there may be cases in which it is necessary to register in a new.

“Let's imagine that we have an Engineering Study and that we want to expand our services by offering our clients construction services and we find ourselves in the need to hire someone for that new service. As an engineering studio we will be registered with the economic activity “Engineering technical services” with code 843.1, but it is not enough, to hire this new worker we will have to register in a new Economic Activity called “Building and Civil Works” with code 501.1””

As the name of the models 036 and 037 both serve to give us Registration in the Business Census, to communicate any modification or, to unsubscribe from said census. In our case, what we are going to do is register a new activity.

Model 037 is a simplified version of model 036 and can be used as long as a series of requirements are met.

How to obtain the Quote Account Code

· Competent body: General Treasury of Social Security

· Application model: Form TA.6 to request the main Quote Account Code and Form TA.7 to request the rest of the Account Codes that will be linked to the main one.

· Form of presentation: We can present it physically at the office of the General Security Treasury closest to our tax domicile or, alternatively, electronically through the “ELECTRONIC OFFICE” on the Treasury page.

If it is about giving hire our first workerPossibly, we are not yet registered as entrepreneurs in Social Security and, therefore, we do not have a “Contribution Account Code”.

The Contribution Account Code is the number that the General Treasury of Social Security assigns us as self-employed workers or companies to identify ourselves and be able to control our obligations with it. This first Contribution Account Code will be the major and to him the rest of Codes that we must register in the future, for example, it will be necessary to register a Contribution Account Code in each of the provinces in which we carry out our activity, these new Codes will be linked to the main one.

Worker affiliation

  • Competent body: General Treasury of Social Security
  • Document to present:: Model TA.1 “Application for Affiliation/Social Security Number”
  • Form of presentation: electronically with the digital certificate through the “ELECTRONIC OFFICE” of the Social Security Treasury page

If we wish to register a worker who has never been registered In no other company will we have to apply for membership. In this case, the affiliation number will serve, like the company's Contribution Account Code, to give you a identification of the worker and control of their obligations and rights before Social Security.

The worker's affiliation to the Social Security System it happens once in a lifetime and the assigned number will be unique and forever (just like our National Identification Document, but with Social Security), it will also be used for all Contribution Regimes.

In this case, it will be our obligation as entrepreneurs to register this new member of the Social Security System.

Register a worker with Social Security

  • Competent body: General Treasury of Social Security
  • Document to be presented:: Model TA.2 “Request for Registration, Deletion and Variation of data of the employed or similar worker”
  • Form of presentation: It is mandatory to present it electronically through the “Social Security Network System”.
  • Presentation deadline: Prior to the start of the employment relationship with a maximum notice of 60 calendar days

Once we have carried out the previous steps or, well, we have verified that they are not necessary to carry out them, it is time to register our worker. For this we must carry out the application for registration to the General Treasury of Social Security through the “Social Security Network System”, this procedure must be carried out Mandatory electronically.

He “Network System” is a platform developed to facilitate communications between Social Security and companies or self-employed workers. In order to use it, it is necessary to request authorization from it and assign to your authorized network the CCC in which you are going to register that new worker.

The data to be completed will be the following:

  • Contribution Account Code in which the worker will be registered.
  • Social Security Number, which will coincide with the worker's Affiliation Number
  • Birthdate
  • ID
  • Degree of disability, if any
  • Home
  • Indicate that it is a discharge
  • Discharge date
  • Code of the Employment Contract, the Social Security Treasury has assigned a code to each type of contract.
  • Contribution Group to which the new worker will belong

Registration and Communication of the Employment Contract in the State Employment Service (SEPE)

  • Competent body: State Employment Service (SEPE)
  • Form of presentation: It is mandatory to present it electronically through the “Contrat@” service of the SEPE.
  • Communication period: 10 days from the beginning of the employment relationship
