Efficient Management with SAP: Quota Suppliers

In the module SAP – MMOne of the key features is efficient management with SAP through quota arrangements with suppliers. This tool is especially useful when establishing quota agreements to manage different material supply capacities within the organization.

Solution thanks to efficient management with SAP: Suppliers with Limited Capacity

Lean management with SAP provides a solution for organizing suppliers who can only manufacture or supply a limited number of units, while the organization needs to meet increased demand. This solution is implemented through quota regulation and the maximum quantity release function.

Steps to Implement Quota Regulation

  1. Activate the Quota Arrangement Function in the Material:
To use the quota arrangement, it must first be activated for materials supplied by the vendor. This is done in the purchasing view of the material master.

  2. Setting the Source List:
Access to quota regulation transactions can be done through the tree or via the transaction code.

    list of sources

It's necessary to set up a list of sources of supply that includes both the supplier with limited capacity and the supplier who will assume the remaining demand. It's important to have records of supplier and material information in the appropriate plant for this to work properly.

  3. Supplier Quota Settings:
In this step, the provider's capabilities are detailed by completing the following fields:

    supplier fees
  • Max Rel. Qty: Sets the maximum capacity limit for the supplier.
  • Number of Periods: Determines the number of periods for which the maximum release amount is valid.
  • Release Quantity Period: Defines whether the capacity limit is weekly, monthly, or based on the PP planning calendar.
  • Priority: If there is more than one supplier in the quota, priority is used to determine the sequence.

Once configured, the system will automatically select the appropriate supplier based on established criteria, whether through MRP, purchase requisitions, or specific orders. This approach optimizes procurement based on supplier capacity, solving customized problems in procurement systems.

As we've seen, efficient supplier quota management with SAP is an essential strategy for any organization seeking to optimize its supply chain and ensure continuous material availability. By implementing a system that regulates quotas based on supplier capacity, companies can overcome the challenges associated with limited production from certain suppliers and effectively balance demand. This approach not only improves relationships with suppliers by recognizing their capabilities and constraints, but also enables more accurate planning and agile responses to market needs.

Furthermore, the use of advanced tools enables efficient management with SAP for quota organization, ensuring that procurement decisions are based on real and up-to-date data, reducing the risk of errors and optimizing available resources. Companies can prioritize suppliers based on their capacity and availability, avoiding overloads and ensuring a constant flow of materials.

In short, supplier capacity-based quota regulation in SAP not only optimizes operational performance and supply chain efficiency, but also strengthens business resilience by enabling better management of supplier capacity constraints and variations. Implementing this strategy is an investment in the organization's long-term sustainability and success.
